We are so excited to announce the release of one of the most anticipated feature requests of the year. Yes ladies and gents, Christmas has definitely come early. Well… 2 weeks is still early!!

Let me set the scene. Currently, we provide several ways of generating timesheets:

  1. Employees creating timesheets through the employee portal;
  2. Employees creating timesheets via WorkZone;
  3. Managers creating timesheets on the employee’s behalf;
  4. Importing timesheets via external sources;
  5. Creating timesheets from the roster;
  6. Employees clocking in & out via the web kiosk; and
  7. Employees clocking in & out via Clock Me In.

Wow, ok, that’s actually a lot!

Considering the number of WorkZone users are significantly increasing from week to week, it only made sense that allowing staff to clock in & out using WorkZone should be the next option we provide.

Why would employers provide this option to employees?

This option may not be suitable in all situations and that’s a decision that each business can make. We’re here to provide you with the flexibility to choose one or even a combination of methods that suits all your employee circumstances. For example, a business is comprised of:

  1. Full time staff that work in head office – no timesheets are required as the employees are set up as auto-pay;
  2. Part time and casual staff that work in head office – timesheets are generated by clocking in & out via Clock Me In (where the iPad is fixed in one location);
  3. Part time and casual merchandisers that visit multiple client sites per day and also need to record travel time separately – multiple timesheets are generated by clocking in & out via WorkZone.

The ease of being able to clock in & out via a smartphone at real time – rather than waiting till the completion of a shift to create a timesheet – is priceless to an employee. The added benefit of generating clocking activities via WorkZone and/or Clock Me In is that users can:

I want this ASAP. What do I need to do?

This feature is not automatically enabled. To do this, go to Payroll Settings > Employee Portal Settings:

The first step is to tick “Employees can clock in/out using WorkZone”. The sub-settings are then optional but will obviously determine the employee workflow when clocking in & out.

That’s it! Then just spread the word to your employees!

As an employee, how does this work?

Once the Employee Portal Settings have been activated, the employee must install the latest version of WorkZone. Then:

Step 1: When logged in, the employee dashboard will display a ‘Clock In’ option. Tap on ‘Clock In’;

Step 2: This next step varies based on the Employee Portal Settings and employee’s profile setup. The employee will select:

Step 3: The employee will be required to take a photo (if this setting has been enabled):

Step 4: The employee will tap on ‘Start Break’ (if they are required to capture break times) or tap on ‘Clock Out’ to finish their shift. Both activities will require a photo to be taken (only if this setting has been enabled):

That’s it. It’s as simple as that! Once the employee clocks out, the timesheet will generate in KeyPay.

One last thing to point out with the Employee Portal Settings is that we have included additional timesheet setting options to take into account this new functionality:

“Create and edit all timesheets” also include timesheets created via clocking in & out using WorkZone.

Just do it!

What are you waiting for? If you haven’t already, get your employees to download WorkZone immediately by clicking here:

Further upcoming enhancements to this feature will include the ability for employees to view and enter notes as well as being able to match shifts to the roster. We will be sure to send an update once these enhancements are deployed.

If you have any questions or feedback, we’d love to hear from you. Submit a comment or send us an email at support@yourpayroll.com.au.

    Hi,
    I am having trouble with settings – from what I have tried, I only seem to be able to allow an employee to edit timesheets entered the usual way OR by clocking in or clocking out, but not both. I have not tried “create and edit all timesheets” because that just lloks like they can access anyone’s(?)

      Hi Mark,

      The setting “create and edit all timesheets” will allow staff to edit ONLY THEIR timesheets however they have been generated, be it by manually creating timesheets or by clocking in or out.

        Thanks Dimitra
