Way back in 2014 we launched our first version of rostering. It probably would have been more accurate to call it a “beta” as the original version was designed to gauge feedback on a payroll product that had integrated rostering, timesheets and awards. The overwhelming feedback that we received was that rostering was absolutely something people wanted, but the version that came with KeyPay wasn’t quite what people were looking for. Over time we added additional features like budgets and shift costing, but as the feedback continued we could sense that if we wanted to get serious about meeting the needs of our users, we’d have to go back to the drawing board and rethink nearly everything about rostering in KeyPay.

So that’s what we did and today we’re excited to announce that we’re re-launching rostering in KeyPay. Nearly everything has changed in this major update so keep reading to find out what’s new, what’s changed and what’s coming up next.

What’s new

Pretty much everything is new, has been changed or improved in the new version of rostering. Here’s a summary of the best bits

All new design

The first thing you’ll notice is that we’ve redesigned the roster from the ground up. This is more than just a new lick of paint on top of the old rostering, this is a complete revamp that not only improves the visual styling, but makes rostering more intuitive and easier to use.

Key design improvements include

Simpler shift management

Creating, editing and updating shifts have gotten a makeover. Clicking on a tile in the shift grid brings up the shift editor which you can use to quickly create shifts. We’ve also made it easy to duplicate a shift by allowing you to select multiple employees for a single shift. Clicking on an existing shift will allow you to view the details of the shift in the shift panel, and the costs tab will give you a full break down of the shift costs.

Focus on your employees

One brand new feature is the new employee panel. Click on any employee’s name on the roster grid to open the panel and you’ll have instant access to key employee details.

Don’t blow your budget

Budgets has had a complete overhaul and has a few new tricks to help you keep your costs under control. You can still set your budgets for a location, but you can also allow a budget to be shared across sub locations to give you complete flexibility when managing your wage costs.

In addition, we’ve added the handy budget overview panel so you can combine your budget with the real time shift costing to get a quick overview of your wage costs or drill down into the details to identify potential problems with your roster.

Copy with control

Copying shifts has been given some much needed TLC and you’re now able to copy shifts across a day, week, fortnight and even a custom date range. You can also copy them to ANY DATE so you have the power to create rosters like never before.

Rolling out Roles

Roles are a completely new feature that allows you to colour code shifts based on the role being used for the shift. For now, you can create, edit and assign roles to shifts, but we’ve got big plans for roles in the not too distant future, so watch this space.

How do I get it?

The new version of rostering is available to all KeyPay users on the plus plan. If you already use rostering, you’ll automatically be upgraded to the new version. If you’re not on the plus plan or not using rostering, why not take some time to try out the new version.
